Estimate follow-up for painting contractors

You send the estimate, the client goes quiet, and nobody gets back to them. This tool sends two short follow-ups under your company name, stops the moment the client replies, and shows you who answered.

The problem

The estimate went out. Then nothing.

Most painting jobs are won or lost after the walkthrough. You measure, price the prep, the coats and the trim, send the number, and then the day fills up with jobs already on the schedule. The client meant to reply, got busy, and now has a second quote on the counter.

Following up is the obvious fix, and it is the first thing to slip, because it depends on someone remembering which estimates are still open and how long each one has been sitting.

What the tool does

How it works, step by step

01
When you send it

Add the estimate

Client, job, amount, and a phone number or email. We set it up to work off what you quote with now (a spreadsheet, QuickBooks, or estimates sent from your own email), so nobody types it twice.

02
Day 3 in the demo

The first follow-up goes out

A short note under your company name checking the client got the estimate and offering to answer questions. You write the wording once and every estimate uses it.

03
Day 10 in the demo

The second follow-up

A second note saying you have openings coming up and asking if they want the job on the schedule, with an easy out if now is not the time.

04
When they reply

Follow-ups stop and you see the reply

A reply cancels anything not yet sent and shows next to the estimate. You can mark an estimate won, log a reply, or stop follow-ups on one by hand. The top of the page shows what is still open and what was won.

The demo is a working copy for a made-up company, Maple Ridge Painting. Add an estimate, open one to see its follow-up timeline, edit the two messages and watch every estimate pick up the change, then mark one won.

Sample data. Every name, job and number in the demo is made up. Nothing is saved and nothing is sent.

Who it is for

Built for one trade, on purpose

Painting contractors who send written estimates. Repaints, exteriors, cabinets, commercial bids: anything where a number goes out and you wait.
Owners who do their own estimating. If you are on a walkthrough or a ladder all day, the follow-up is what slips.
Not for: shops that price at the counter and get paid on the spot. There is nothing to follow up.
What it costs. Tools on our pricing page start at $50 a month plus $150 to $250 to set up, depending on the tool. The exact price for this one is set on a short call, before anything is built.

Questions people ask

Who do the follow-ups come from?

Your company. They go out under your business name, from your business email or number, in wording you write or approve. Edit the two messages once and every estimate uses them.

What happens when a client replies?

Anything not yet sent is cancelled and the reply shows next to the estimate. A client who has answered does not get another reminder.

Does my crew have to learn new software?

No. It is set up to work off what you quote with now: a spreadsheet, QuickBooks, or estimates sent from your own email. We confirm which on the first call.

Text or email?

Either. Email is the simple version. Texts need the customer's consent and cost money per message, which we go over before setting it up.

Is this a finished product?

It is a working demo with sample data. A real setup is built around your company: your name, your wording and your jobs. It is scoped and priced before we start.
